Two supplier quotes, one wrong suffix and a price per 100

A low-looking unit price is only useful when the part, quantity basis and extra charges are right. Follow the fictional Northlight quote replies to a reviewed two-supplier draft.

Convert the per-board BOM into run quantities

Open the Northlight practice files. The three BOM lines are DEMO-R-A, DEMO-C-B and DEMO-J-C. They are fictional identifiers used to show the review process, not parts recommendations.

  • L1 needs 2 pieces per board: 20 for a run of 10 boards.
  • L2 needs 1 per board: 10 for the run.
  • L3 needs 1 per board: 10 for the run.

The total requirement is 40 pieces. Keep the per-board and per-run quantities visible so a supplier reply cannot accidentally be compared with the wrong basis. Preserve the original replies; a rejected row still belongs in the review record.

Read the price basis before comparing totals

Beta quotes L1 at $12 per 100 pieces. The extended cost of 20 is 20 × 12 ÷ 100 = $2.40. Multiplying the quantity by 12 without the divisor produces $240.00, a hundredfold error.

Alpha offers 25 of the requested L1 at $0.08 each: $2.00. That is a different purchase quantity, so awarding it requires acknowledging the 5 excess pieces. The smaller line total does not remove the need to inspect identity, expiry and other charges.

Resolve the suffix conflict and extra row

Beta replies to L2 with DEMO-C-BX, while the BOM requests DEMO-C-B. The changed suffix is an identity conflict. Reject that line in this practice job rather than treating it as an interchangeable part.

Alpha also includes an unrequested DEMO-X line: 4 pieces at $2.00, or $8.00. Its full quoted file total is $22.00, including that extra. Exclude the extra from the award, while retaining its row decision so the file total remains explainable.

Account for all six quote rows

  1. Award Alpha L1: 25 × $0.08 = $2.00.
  2. Award Alpha L2: 10 × $1.20 = $12.00.
  3. Exclude Alpha DEMO-X as unrequested.
  4. Leave Beta L1 unselected; its $2.40 calculation remains in the review.
  5. Reject Beta L2 because the part identifier conflicts.
  6. Award Beta L3: 10 × $2.50 = $25.00.

Check quantities, part identities, price basis, quote validity and fixed charges against the original supplier replies. Confirm the excess explicitly. The generated handoff is for review; nothing has been purchased or sent.

A corrected supplier reply should be reviewed in a new job. Preserve the earlier files and decision record so someone can explain which quotation supported the draft.
